In compliance with the Personal Data Protection Act 2010, as amended by the Personal Data Protection (Amendment) Act 2024 (“the Act”), this notice is issued to inform all our valued clients, customers, contractors, sub-contractors, vendors and prospective stakeholders of their rights concerning the personal data that has been and/or will be collected and processed by FM Global Logistics Holdings Berhad, including its subsidiaries and associated companies (collectively referred to as “we”, “us”, “our”, “FM”, or “FM GROUP”).
This notice explains how FM GROUP collects, processes and safeguards your personal data. For the purposes of this notice, all terms used shall carry the meanings assigned to them under the Act.
Collection of
Personal Data
FM GROUP has collected and shall continue to collect your personal data to be processed by FM GROUP and/or on our behalf in the course of your present or future dealings with FM GROUP. Such personal data is necessary for us to fulfil the “Purpose” described herein in relation to our business activities.

The types of personal data that FM GROUP may collect include, but are not limited to the following:
- Full name;
- Identification card/passport number;
- Gender;
- Date of birth;
- Email address;
- Contact number;
- Residential address;
- Employment and academic history;
- Financial details (e.g., bank account, salary);
- Vehicle and insurance details (where applicable);
- IP address and system log details;
- Photographic or video images;
- Sensitive personal data (e.g., health status, criminal record – where necessary); and
- Biometric data (e.g., fingerprints or facial recognition), Closed Circuit Television (CCTV), and security recordings, where applicable for safety and identity verification purposes.
Purpose of

FM GROUP may use your personal data for the following purposes, which include but are not limited to:
- To manage and maintain our business relationship;
- For regulatory compliance and legal obligations;
- For contract management and communication;
- For audit and security purposes;
- For service improvement and operational efficiency;
- For marketing, promotions, or customer engagement (if consented); and
- Any other purposes as required or permitted by law
Source of
personal data
FM GROUP may collect your personal data from various sources, including but not limited to completed application forms, our official website, business cards, emails, correspondence, surveillance systems within FM GROUP premises and any other documents or communications exchanged with us during the course of its business engagement.
Disclosure of
personal data
FM GROUP may disclose your personal data to other subsidiaries within its group. These subsidiaries shall treat all personal data as confidential, in accordance with the Privacy Policy and applicable data protection laws and will process such data only for the Purposes and within the terms set out herein. FM GROUP remains responsible for the personal data under its control, including any personal data disclosed to a vendor (often referred to as a “data processor”). FM GROUP shall take all reasonable measures to ensure that vendors provide a comparable level of protection for the personal data they process on our behalf. FM GROUP is committed to complying with the Act, including all policies, guidelines and orders issued pursuant to it.
Security of
personal data
FM GROUP implements stringent procedures and security measures to prevent unauthorised access wherever feasible. Personal data transmitted to FM GROUP via our website, applications or online credit card platforms is safeguarded during transmission through encryption technologies such as Transport Layer Security (“TLS”). Personal data stored by FM GROUP is housed within computer systems with restricted access and located in facilities employing robust physical security controls. Data stored in cloud environments is encrypted, including when managed through third-party service providers. All personal data maintained in non-electronic form is likewise subject to strict handling procedures and protective measures.
Use of
cookies
The cookies used by the website are associated solely with anonymous users and their devices, and they do not provide FM GROUP with any personal data. Certain cookies may be used by third parties to help FM GROUP analyse the effectiveness of our engagements and promotions. The cookies used on the Website do not collect any personal data that can identify an individual user. In addition, these cookies are temporary and are used exclusively to enhance the efficiency of your browsing experience. Transfer of

Where necessary, your personal data may be transferred to locations outside Malaysia in accordance with the Act, and only where adequate protection is ensured.

FM GROUP may use your personal data to provide updates on promotions, news, or services offered by FM GROUP. You may opt out of receiving such communications at any time by notifying us in writing.
Data subject’s
obligations
It is necessary for FM GROUP to collect and retain your personal data, and it is therefore obligatory for you to provide such data to us in an accurate and complete manner. Failure to do so may result in FM GROUP being unable to process your personal data for the purposes set out in Clause 3 above or to effectively provide our services to you. In such circumstances, FM GROUP reserves the right to terminate, with immediate effect, any relationship established or to be established between you and FM GROUP.

You have the right to request access to your personal data, to correct or update your personal data, to limit the processing of your personal data, or to seek further information regarding how FM GROUP processes your personal data by contacting us using the details provided below.

In line with the Act, FM GROUP has appointed a Data Protection Officer (“DPO”) responsible for overseeing compliance with the Act. The DPO may be contacted regarding any data protection concerns or to exercise your rights under the Act by submitting your queries or request in writing to: -

FM GROUP reserves its right to amend/update this notice from time to time and shall ensure that a notice of such amendments is made available to you through our corporate website at www.fmgloballogistics.com or through any other means as may be determined by us.
This Notice is issued in English and Bahasa Malaysia. In the event of any discrepancy, the English version shall take precedence.
